Single Source of Truth

A single source of truth (SSOT) is one authoritative place where a given fact lives, so everything else reads from it instead of keeping its own copy. There is one canonical record of a customer, one of a deal, one figure for monthly revenue, and every report, dashboard and automation pulls from that source rather than restating it.

The problem it solves is drift. The moment the same fact lives in two places, the two quietly diverge and nobody knows which is right. Decisions get made on the stale copy, and you waste time arguing over whose number is correct.

Say you're running sales on Pipedrive. The customer record there is the truth: contact details, deal stage, owner. The moment a rep keeps a private spreadsheet of "their" pipeline alongside it, you have two stories about the same deals, and the forecast becomes a guess. Or say you're doing your books in Moneybird: your revenue figure should come straight from the invoices recorded there, not from a number someone once typed into a slide and never updated. Same trap with Airtable as your project base, treat the base as canonical and let dashboards read from it, rather than exporting a snapshot that's stale the next morning.

For a lean founder leaning on automation, an SSOT is non-negotiable: an agent must read the live value, never a shadow copy that fell out of date. The principle is simple to state and hard to hold, because copying data is always the easy short-term move. Discipline means resisting the second copy and pointing everything back at the one true record.
