Which sales hub should I actually use? For most early B2B companies the tool matters far less than the discipline around it. HubSpot, Pipedrive, Salesforce, Attio and Close all model companies, contacts and deals well enough to win. Pick the simplest one that fits how you sell today and integrates cleanly with your inbox and calendar, then commit. Switching hubs every eighteen months destroys more value than any feature gap.

How many pipeline stages should I have? Five to seven for most B2B motions. Each stage should mark a real shift in buyer commitment with a clear entry criterion, not a sales activity. If you find yourself wanting more than seven, you are probably confusing statuses (waiting on legal, out for signature) with stages. Push those into properties and keep the pipeline lean.

How much should I automate? Automate the mechanical and judgement-free: task creation, lead routing, date stamping, stale-deal alerts. Do not automate the human moments like prospect emails or stage advances on a timer. The rule of thumb is to automate the reminder and let a person send the message. Start with two or three workflows, prove they run on real deals, then add more slowly.

Why is my forecast always wrong? Almost always because the inputs are dishonest, not because the maths is hard. Close dates drift with no friction, probabilities are guesses, and dead deals sit open inflating the number. Anchor probability to stage win-rates, surface stale deals loudly, separate commit from best-case from pipeline, and run a real weekly review where every close date can be challenged.

Do I need a dedicated revenue operations person to configure this? Not at the start. A founder or sales lead who understands the real deal motion can configure a lean, honest hub. You need a dedicated operator when the number of automations, integrations and reporting demands genuinely exceeds what one part-time owner can maintain, which is a concrete capacity signal, not a vague "we should have one".

How do I get reps to actually keep the data clean? Stop relying on willpower and remove the friction. Cut required fields to what drives a decision, integrate the tools reps already use so the record fills itself, derive every fact the system can compute, and make the weekly pipeline review the place hygiene gets enforced. If keeping the hub true is a constant nag, the configuration is the problem, not the reps.
