Where the ground truth actually lives
The deepest mistake in CRM hygiene is treating the CRM as the source of truth. It is not. It is a manual transcription of the truth, typed by the busiest, least-incentivised people in the building. Reps spend only around 28-30% of their week actually selling, and a striking 17% of the week disappears into CRM data entry alone, roughly ten to eleven hours of manual logging, a figure both the Forrester activity study of more than three thousand reps and Salesforce's 2025 State of Sales land on. Asking those people to also keep the CRM pristine is asking the problem to solve itself.
The ground truth lives in the activity systems: email, calendar, call recordings, and meeting transcripts. These cannot be gamed by a rep optimistic about their quota, because they record what actually happened. The modern pattern is activity capture, an agent reads the email thread, the calendar, the call transcript, and writes the deal stage, the close date, the next step and the contact record from observed reality rather than waiting for a human to remember. A call ends, the transcript is parsed, the urgency signal is caught, the stage and date update, and the forecast adjusts within minutes, with no human typing. Automated capture routinely pulls in 40%+ more activity and contact data than reps log by hand, and can claw back the bulk of that data-entry time, time that goes straight back into selling.
This is the structural reason AI agents beat the old "data hygiene sprint". A quarterly clean-up fights decay after the fact and loses, because the data rots faster than a human can scrub it, more than 2% a month, every month. An agent reading the activity stream keeps the CRM in sync as reality changes, which means the pipeline is clean by construction instead of clean by heroic effort. Get this layer right and you remove both the dirty data and the time spent feeding it. The same activity stream powers good lead scoring and a sharper read on why deals close or die, clean inputs, honest outputs, one pipeline.
