Back-office Automation

Back-office automation is replacing the repetitive administrative work that keeps a company running, invoicing, reconciliation, data entry, onboarding, reporting, scheduling, with software that does it reliably without you. These are the tasks that produce no growth on their own but quietly eat hours and cause expensive errors when a tired human does them at month-end.

For a lean founder the case is simple: every hour you spend copying numbers between tools is an hour not spent on the work only you can do. Automation here isn't glamorous, but it compounds. Each piece you remove is a recurring tax on your attention and a recurring source of mistakes, gone for good.

A few concrete shapes it takes:

  • Say you're running your bookkeeping in Moneybird. Instead of typing every bank line in by hand each week, you import the bank feed and let Moneybird match payments to invoices automatically, so reconciliation becomes a five-minute review instead of an evening.
  • Say a new client signs and you've mapped onboarding in Process Street. The checklist fires itself, assigns each step, and chases the laggards, so nobody forgets the kickoff email or the access request.
  • Say a deal closes in your CRM and you want the finance side to know. A Make scenario watches for the closed deal and creates the draft invoice and a project folder, with no copy-paste in between.

The right approach is to map the work first, automate the highest-frequency and most error-prone steps, and keep a human in the loop only where judgement or an irreversible action is involved. Start with the task you do most often and dread most.
